Good dictation skills will not only ensure an accurate finished product, but they will also save money on transcription services. If the dictated speech is clear and concise, the transcriptionist will be able to type faster, which should result in a lower cost for your transcription services as long as they are billed hourly. There are many things that can be done to ensure good quality recordings, and there are several things that should be avoided to prevent poor recordings.
Planning ahead can help to improve your dictation. Consider the environment that you will be working in. It should be quiet, and carpeted to avoid echoes. Background noises should be kept to a minimum or eliminated altogether, and make sure cell phone are off. Try to stay away from noisy pets as well. All of these things can overcome the sound of your voice on tape and make it difficult for the transcriptionist to hear or understand you.
Circumstances may sometimes require dictating away from your home or office. If your dictation must be done away from your normal setting, avoid dictating in restaurants, cafes, airports, bus terminals or open spaces. These all offer too many opportunities for unwanted audio to be picked up by your recorder. Consider also that ‘white noise’ caused by fans, lighting, refrigerators or electric motors will be picked up by the recorder. Pay careful attention when working in an unfamiliar environment.
Digital voice recorders now dominate for dictation purposes. They can record in very high quality as long as they are at the proper setting. The lowest quality setting is LP (long play). This setting will use the least amount of memory as well. This setting should be avoided however because its lower quality will give rise to more errors in the transcription due to sound issues. Always select the highest quality setting available for your recorder.
Once your setting has been established and your equipment selected and set up to your satisfaction it is time to start dictating. One final item to take care of just before you begin it to test the recorder. Simply begin recording and recite a standard testing phrase into the machine. Then rewind and play it back to ensure that the machine is on and working properly. To find that the machine was not powered up after a long session of dictation can be very disheartening!
